For the Councils and some of the sub-structures (listed below), PYM administrative office staff can prepare most of the component pieces of a mass mailing, including gathering the information for and printing mailing labels, printing the document to be sent on letterhead, providing envelopes and the use of a postage machine (charged to the appropriate Council or sub-structure).
For the Councils and approved sub-structures), PYM administrative office staff can stuff up to 100 pieces of mail. Stuffing of more than 100 pieces of mail will be the responsibility of the requesting Council or sub-structure. Please allow at least two weeks’ notice for mailing and label requests. Labels require accessing our database; if a Council or sub-structure requests this support, they will need to complete a database request form. It is the responsibility of the Council or sub-structure to actually get the mailing out. Please allow at least one week’s notice for editing requests. Occasionally, some requests will require more time for completion. The more time you allow for turn-around, the more likely the staff will be able to meet your request.
Note: Our procedure is that we do not send mailings directly to clerks of monthly meetings for the purpose of generally informing others.
