Location: Moorestown Monthly Meeting, 118 East Main Street, Moorestown, NJ
Hours: 22 hrs per week; flexible schedule with 1-2 modest days on site with additional hours from home
Compensation: $22.50 Paid time off: Accrued at 2.5 hours per week. Used at employee’s discretion for holidays, vacation, sick, or personal time. No additional benefits provided.

Responsibilities
The Office Administrator will use their organizational, communications, and technical skills and experience to help implement processes that will support and enrich our Quaker faith community. This is the sole paid staff position for our Meeting. This position requires an individual who is focused, organized, enjoys a diverse range of responsibilities, and who can identify and champion opportunities for improvement. An understanding or interest in learning about Quaker principles and practices is preferred.
Specific duties include:
- Provide administrative support to Meeting officers, committee clerks, and volunteers
- Initiate, compose, distribute, and respond to one-on-one and group written communications with Meeting constituents
- Provide an on-site and electronic presence in the Meeting office to address inquiries from members, volunteers, visitors, callers, facility renters, school employees, and service providers
- Create and maintain records of membership, contact information, events, service, etc. in the Meeting’s software (church management system/database)
- Update events and content on internal calendars and the Meeting website (WordPress)
- Maintain Meeting office needs including systems and supplies (electronic equipment, files, stationery, etc.), and serve as liaison with the third-party IT support provider
- Record and deposit funds from a variety of sources
- Coordinate scheduling use and rental of Meetinghouse facilities
- Compile content for, write, produce, edit, and distribute periodic publications, including weekly bulletins, website content, internal flyers/programs and other communications
- Stock supplies for the Meeting’s kitchen, literature racks and displays
- Additional administrative tasks and responsibilities to support Meeting as they arise
- Weekly check-in meeting with current clerk
Capabilities and Skill Requirements
The Office Administrator will be able to work efficiently and independently with limited oversight to perform routine and complex tasks for this volunteer/nonprofit organization. The ability to manage multiple priorities, interact with a variety of volunteers, and maintain confidentiality and the trust of the Meeting community is key.
In addition, the Office Administrator will have experience in the areas of responsibility outlined, and demonstrate skills in the following areas:
- Excellent written and oral communications
- Experience with Microsoft Office applications (Word, Excel, Outlook)
- Data management/administration including member software programs; quick learner
- Basic accounting skills
- Scheduling and coordinating of resources
- General office organization and management
- *Photo, video and website design skills are a plus
Working Environment
Moorestown Friends Meeting is a nonprofit Quaker faith community with two worship locations in Moorestown and Mount Laurel, New Jersey. The administrative mobile office is located on the main level of the Moorestown Meetinghouse. The meetinghouse is also used extensively by the Moorestown Friends School community, located on the adjacent property.
The Office Administrator will report directly to the Clerk of the Meeting. Additional direction may be provided, as necessary, from the Meeting officers (alternate clerk, treasurer, and secretary), committee clerks, and individuals with specific needs or expertise.
Employment will begin with a probationary period of 90 days, following which a determination will be made on continued employment, schedule, and responsibilities. A formal employee performance review will be conducted annually.
